Terms & Conditions of Booking

Digital Golf Studio, driven by Clovelly Golf Club
1. Scope & Acceptance
- These Terms & Conditions apply to all bookings, sessions, events, leagues, and coaching held in the Digital Golf Facility at Shop LGO1, Stadium on Main (“the Facility”, “we”, “us”, “our”).
- By making a booking, you (the “Guest” or “Client”) confirm that you have read, understood, and agree to these Terms & Conditions.
- We reserve the right to amend or update these terms at any time. The version in force at the time of booking will apply to your session.
2. Booking & Payment
- All bookings must be made in advance, via the Facility’s online portal, or can be made at the Facility reception.
- A booking is only confirmed once full payment is received.
- If payment fails or is not made by the deadline, the booking may be cancelled, and any preferential rates lost.
- We may refuse or cancel any booking (at our discretion) due to maintenance, private hires, or other operational requirements. In such cases, you will be offered an alternative slot, simulator credit, or, in specific circumstances, a full refund.
3. Cancellation, No‑Shows & Refunds
- If you cancel more than 24 hours before the scheduled session, you are eligible for a full simulator credit, or, in specific circumstances, a full refund.
- For cancellations made within 24 hours, no refund or credit will be given.
- Guests who arrive late or do not show for their session forfeit their session, or part thereof, and are ineligible for any refund or extension.
- In case of Facility closure or technical failure beyond our control (e.g. power outage, system failure), we will endeavour to reschedule. If we cannot, we will issue a simulator credit or refund for the unused portion.
4. Arrival, Check‑In & Session Timing
- Guests should arrive at least 15 minutes before the scheduled session to allow for check-in, safety briefing, and configuration.
- Sessions start and end at the scheduled times; no extension will be granted for late arrivals.
- All players must register at the Facility reception before proceeding. If a safety demonstration or staff inspection is required, the session may commence only after that is complete.
5. Use of Studio & Equipment
- Guests must comply with all safety, operational, and usage instructions provided by staff or displayed in the Facility.
- Only golf clubs, balls, or gear approved or provided by the Facility may be used.
- Swinging clubs outside of the simulator bays or designated hitting zones is strictly prohibited.
- The Guest is responsible for any damage (accidental or intentional) caused to the simulator, screens, projectors, furniture, or other equipment, and agrees to pay repair or replacement costs.
- We will not be liable for injuries or losses arising from misuse of equipment or failure to follow instructions.
6. Conduct, Dress & Safety
- Appropriate and respectful attire is required. Consideration must be given to other guests within the Facility.
- Soft-spike golf shoes or clean sneakers are permitted.
- Smoking or vaping is strictly prohibited inside the Facility.
- Abusive, disruptive, or unsafe behavior may result in immediate termination of your session, without refund.
- Anyone judged by management to be under the influence of any substance may be refused service or removed.
- Children under 15 years must be supervised by a responsible adult at all times in the Studio.
7. Food & Beverage
- Only food and beverages purchased from the Facility may be consumed.
- Any spill or damage caused by food or drinks will incur a cleaning or repair charge at cost.
8. Group Bookings & Events
- For group, corporate, or event bookings, a minimum 50% deposit may be required, with full payment due 48 hours before the event.
- Groups must adhere to the same rules of conduct, safety, and supervision.
- Use of the Facility for tournaments or leagues may be subject to special conditions (duration, dress code, exclusivity, etc.).
9. Photography, Media & Privacy
- The Studio may capture images or video footage for promotional or marketing use. By using the Studio, you consent to this use unless you notify staff in writing prior to your session.
- By booking, guests consent to the collection and storage of personal data for booking management and marketing purposes, in compliance with POPIA.
- CCTV operates for safety and security.
- Clovelly will not share your data with third parties except as required by law or with your express consent.
10. Liability, Waiver & Indemnity
- Use of the Facility is at your own risk.
- You agree to release Clovelly Country Club, its employees, agents, instructors, and contractors from any liability for injury, loss, or damage (to person or property) except in cases of proven gross negligence.
- Personal belongings are brought in at your own risk; Clovelly is not responsible for theft, loss, or damage.
- You shall indemnify Clovelly in respect of any claims, costs, or losses arising from your breach of these Terms or your conduct (including legal fees).
